Switch Savvi Privacy Policy

Summary

Procure Smart is committed to protecting and respecting your privacy.  This Privacy Policy explains how we collect, use, disclose, and safeguard your (“The User”) information when you use our business energy contract switching platform (“Switch Savvi”). Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not use Switch Savvi.

We process your business data in order to provide you with the services you are requesting by using Switch Savvi.  Namely, these are: providing business gas and electricity contract quotes, providing you with a digital method of completing the contact and completing the administration necessary to lock this contract in with the supplier of your choice.

The contact information you provide as part of this process will be used to contact you about the service we supply to you, including the quoting process and the contract signing process, regardless of whether you become a customer of Procure Smart via Switch Savvi.

In order to provide you with quotes, we must share your business’ data with third party price aggregators and energy suppliers in order to access prices.

 

The data we collect

The data we collect during Switch Savvi’s quoting process is listed below, including the source from which we collect it.  Only the data necessary to complete the required quote you request is collected.  Data on your individual session may include some or all of the below, depending on level of completion.

We also collect usage information on your sessions within Switch Savvi via standard digital measurement methods.  You are not individually identifiable from this information and it is not classified as personal data.

The lawful basis for us collecting this information is classified as “contractual necessity” and “explicit consent”.  IE you have asked us for a quote, which requires this information to be collected and processed and you are doing so in agreement with Procure Smart’s terms and conditions and privacy policy.

 

How we use your information

Our use of the data we collect can be split into four categories: quoting, contracting, administration and communication.

 

Quoting:  Data regarding your business and its use of electricity/gas is essential to be able to gain an energy quote from a supplier.  We feed this information into a third-party API, which returns the quotes we are able to present to you.

Contracting: We will then present you with your chosen contract to be digitally signed.  We use the information collected at this stage to send the contract to your chosen supplier to be locked in.

Administration: We will use the contact data you have provided to contact you to resolve any queries which may arise as part of the contracting process.  We will also contact you via email to confirm when your contract has been accepted by a supplier.

Communication: We will use your contact information to contact you about deals you have selected but not completed, for instance to notify you that a deal is about to expire or that it may be incomplete due to error.  We may also contact you via email to notify you about our business cost saving products and services which could benefit your business.

 

All data collected during the Switch Savvi process will be used to improve the platform and Procure Smart’s services offered to customers to maximise alignment between user/customer expectations and the experience they have when using Switch Savvi.

 

When your data may be shared

We will need to share your data with your chosen energy supplier in order for them to administer a contract you have selected.  The data provided to the supplier will comprise everything you have submitted via your signed and completed contract.

This is essential and our service cannot be provided without the sharing of these pieces of data.

Your chosen supplier will store your data in accordance with their own privacy policy and terms and conditions.  Copies of T&Cs will be provided by Switch Savvi at the point of signing the contract and should be read and understood prior to signature.

We may supply your email address and name to suppliers carrying out communication-based campaigns on our behalf, such as email marketing.  These campaigns will always provide you with the option to opt-out of communications.

We will provide any data we are obliged to provide as part of a legal requirement or investigation, to comply with legal obligations and relevant laws.

 

Security of your data

We understand the importance of keeping your business’ data secure.  As such, we implement appropriate technical and organisational measures to protect your personal information against unauthorised access, disclosure, alteration, or destruction to the best of our ability.  These measures range from IT security firewalls, systems and policies to organisational data protection officers and working groups.

 

Data retention

We will hold the data you’ve supplied to us for as long as you are a customer of Procure Smart.  We must do this in order to administer and manage your account.  The typical run-time of a contract is 36 months, however this does not account for contract renewals or extensions.

After this period, your data is archived in order to be able to comply with potential legal requirements in the future.

The retention and deletion of your data with your chosen supplier will depend on their own privacy policies, which are available on their own websites.  These differ per supplier.

 

Your rights

You have the following rights regarding your personal information:

Access: The right to access the personal information we hold about you.  This is known as a Data Subject Access Request (DSAR). Once we have all the information that we need to process your DSAR, we will respond within one month unless your DSAR is very large or complex, in which case we may need to extend this period. If we need to do this, we will let you know as soon as possible.

Correction: The right to correct any inaccurate or incomplete information.

Deletion: The right to request the deletion of your personal information, subject to certain legal conditions.

Objection: The right to object to the processing of your personal information.

Portability: The right to request the transfer of your personal information to another service provider.

Wholly automated review: you have the right to have any fully-automated decision made about you to be reviewed.  Procure Smart does not carry out fully-automated decision making, but works with suppliers who may employ this.  We are happy to work with our customers to exercise this right.
